Privacy Policy & Cookie Policy

Askive is built on the belief that your data is your own. This policy explains in plain terms what data we collect, why we collect it, how we protect it, and what your rights are. We have combined our Privacy Policy and Cookie Policy into one document for simplicity.
1. Who We Are
Askive ("we," "our," or "us") operates the Askive platform available at askive.app and associated applications. We are the data controller for personal information collected through our Service. If you have privacy-related questions, contact us at hello@askive.app.
2. Information We Collect
Account information. When you create an account, we collect your name and email address. You can sign in either with your email address (we send you a one-time code) or via single sign-on (SSO) through our identity provider, Logto, which can authenticate you with a third-party account (such as Google). When you sign in via SSO, we receive the information your identity provider shares with us, typically your name, email, and profile photo. Your third-party credentials are handled by the identity provider and are never shared with or stored by Askive.
Content you upload. Askive stores the files, photos, documents, and other materials you choose to add to your archive ("User Content"). This content may include sensitive personal and professional information, records, contracts, correspondence, and other documents.
Usage data. We collect information about how you use the Service, including queries you make, features you use, and the frequency and timing of your activity. This helps us improve the Service and troubleshoot problems.
Device and technical information. We automatically collect information about the device you use to access Askive, including browser type, operating system, IP address, and referring URLs. This information is used for security monitoring, fraud prevention, and aggregate analytics.
Payment information. When you subscribe to a paid plan, payment processing is handled by our payment provider (Stripe). We do not store your full payment card number. We receive limited billing information including the last four digits of your card, expiration date, and billing address for our records.
Communications. If you contact us by email or through our support channels, we retain those communications to help us respond and improve our service.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the Askive Service
- Process and respond to your queries using AI
- Authenticate your identity and protect your account
- Send transactional emails (account confirmations, billing receipts, security alerts)
- Respond to support requests and communications
- Monitor for abuse, fraud, and security threats
- Comply with legal obligations
- Analyze aggregate usage patterns to improve the Service
We do not use your User Content (documents, photos, uploaded files) to train AI models that serve other users. Your documents and files are processed solely to respond to your queries.
We do not sell, rent, or share your personal information with third parties for their own marketing purposes.
4. Legal Basis for Processing
For users in the European Economic Area (EEA), United Kingdom, or other jurisdictions with similar requirements, we process your data on the following legal bases:
6. Data Storage & Security
Your data is stored on secure cloud infrastructure in the United States. We implement industry-standard security measures including encryption at rest and in transit, access controls, and regular security reviews.
Uploaded files and documents are encrypted at rest. Access to your data is restricted to you and to Askive personnel who need it to provide support or maintain the Service.
No security system is impenetrable. If we become aware of a security breach that affects your personal data, we will notify you as required by applicable law, typically within 72 hours of discovery.
7. Data Retention
We retain your account information and User Content for as long as your account is active. If you delete your account, we will delete your personal data and User Content within 30 days, except where we are required to retain it to comply with legal obligations (such as financial records we may be required to keep for accounting purposes).
Anonymous usage data and aggregate analytics may be retained indefinitely, as they cannot be used to identify you.
Guest memories (created before account registration) that are not claimed by a registered account are automatically deleted within 24 hours.
8. Connected Sources
Askive supports external document providers ("Connected Sources") that allow you to build your archive from files stored in third-party services such as Dropbox.
Read-only access
Askive accesses Connected Sources using read-only permissions. We never edit, move, rename, or delete your original files stored with the external provider.
Authorized folders only
Askive only accesses the specific folders or locations you explicitly authorize during the connection process. We do not access your full account or any folders you have not selected.
Your files stay where they are
Original files always remain with the storage provider. Askive processes document content to provide search, summaries, and AI-powered answers — but your originals are never copied to Askive storage.
What we process
Askive reads the content of authorized documents to extract text, generate summaries, and build a searchable index. This processed data is stored in your Askive archive as Memories.
Disconnecting a source
You may disconnect a Connected Source at any time from your account settings. Disconnecting stops all future access. Existing Memories derived from that source remain in your archive until you choose to remove them. Disconnecting never affects your original files with the storage provider.
Removing imported Memories
If you choose to remove Memories imported from a Connected Source, Askive permanently deletes its processed data associated with those Memories. Your original documents with the storage provider are never modified or deleted.
10. Your Rights
Depending on where you are located, you may have the following rights regarding your personal data:
To exercise any of these rights, email us at hello@askive.app. We will respond within 5 business days and fulfill your request within 30 days. We may need to verify your identity before processing certain requests.
11. Children's Privacy
Askive is intended for use by adults. We do not knowingly collect personal information from anyone under the age of 16. If we learn that we have collected data from a minor without appropriate consent, we will delete it promptly. If you believe we have inadvertently collected data from a minor, please contact us immediately.
12. International Data Transfers
Askive is based in the United States. If you access the Service from outside the United States, your data may be transferred to and processed in the United States, which may have different data protection laws than your country.
For users in the EEA and United Kingdom, we rely on standard contractual clauses approved by the European Commission to ensure your data receives adequate protection when transferred internationally.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and post a prominent notice on the Service. The updated policy will take effect 14 days after notification, giving you time to review the changes. Your continued use of the Service after that date constitutes acceptance of the updated policy.
